Expanded User Role Functionality for Owners within Portfolio
I’d like to propose an enhancement to the current user role functionalities — specifically geared toward owner users on the platform.
We currently use Hostfully to manage a growing portfolio of properties, and we’d love to offer more tailored access to owners whose properties are part of our ecosystem. This would allow us to increase cross-utilization, streamline internal coordination, and maintain operational control.
Here’s what we envision:
🧑💼 New Owner Role Capabilities
1. Cross-Portfolio Inquiry Option (non-booking):
Owners should be able to view all properties within the portfolio (except financial data), and trigger inquiries for stays in other properties — limited to short notice stays (e.g. within 2 to 4 weeks). This should not generate a booking automatically, but rather a flagged inquiry for approval by the admin team.
2. Availability Visibility (No Revenue Access):
Owners can check availability calendars for all properties, but cannot see pricing or revenue data unless it’s related to their own unit(s).
3. Owner-Specific Discounts (Automated):
If an owner does book a stay in another property, an automatic discount (configurable by admin) should be applied — similar to internal rates. This could work via a rule engine or a dedicated “owner” pricing tier.
4. Maintain Current Blocking Rights:
For their own properties, owners should retain the current ability to block dates freely, with no restrictions on lead time or duration — as is already possible via the Owner Portal.
This kind of role segmentation would support use cases where owners are treated as semi-internal users: they don’t manage bookings, but they enjoy privileged access across the portfolio without breaching data privacy boundaries.
